Evaluating search across multilingual team content

Assess multilingual team search with real questions, scripts, file types and permissions. Compare documented limits in Confluence, Notion and Drive.

Test whether collaboration search returns the current authorised answer when teammates query in the languages and writing systems they use. Pair each query with a known approved answer, then assess retrieval, relevance and access separately.

Build an answer set

Choose current instructions or project decisions people need to find. Record each approved location, owner, language, file type and intended readers, including pages, documents or attachments where those formats matter.

Prepare queries for the same intent using the answer’s language, a reader’s language, an abbreviation and any mixed-language or alternate-script form the team uses. Include English, Chinese, Japanese or Russian where they match the team’s content or users; Confluence lists these among its indexing-language options.

Before searching, record the authorised answer and the action it gives. Count a competing stale answer as a retrieval failure.

Compare search boundaries

Confluence Cloud. Quick search accepts names of pages, blog posts, whiteboards, slides, people, files or attachments, and spaces; results are ordered with the most recently updated first. Advanced search covers spaces, personal profiles and attachments, and shows highlighted terms, the last-updated date and breadcrumbs.

Advanced search filters include spaces, contributors, type, last modified, labels, pages under and titles only. Attachment result types include Word, Text, PowerPoint, Excel, PDF and HTML; test the formats the team actually uses.

The indexing-language setting is under Confluence administration: select the wheel icon, then Settings > Configuration > General configuration > Internationalization > Indexing language, and save the change. Options are English (default), German, Russian, Chinese, CJK, Custom Japanese, French, Portuguese, Czech and Greek; test the team’s important languages rather than assuming equal retrieval across them.

Notion. Search can find a page or content within a page, and quotation marks search for an exact word or phrase. If the workspace has Notion AI, search can cover the workspace and connected apps, with filters including source, title and author.

Exact-phrase search and workspace-wide search do not by themselves show that a query in one language retrieves content in another. Test paired queries in the team’s languages and writing systems, and check whether the current answer appears.

Google Drive. Use Drive’s search for files as a third test. Search for a known current file with the same intent expressed in the team’s languages and writing systems, then check the result using the accounts people actually use.

Do not assume Drive searches file contents or attachments, offers particular filters, or matches queries across languages or scripts. Verify those behaviours directly in the team’s Drive.

Run a retrieval exercise

Give each participant a work question and their usual account without showing them the answer’s title. Record the query, language and writing system, result chosen, and whether it gives the current action.

Repeat the test with the same intent expressed in another team language, and with an account that has narrower permissions. A result visible to the wrong audience is a failure even when its content is relevant.

Pass a query only when the current authorised answer appears in the results for the intended user and contains the required action. Fail it if the answer is absent, a stale answer competes ahead of it, or an account without access can see it.

When a test fails, note whether the answer is in a comment, an attachment, an inaccessible location or a competing page before attributing the failure to language matching. Retest with the same queries after any change and compare results by product, language or writing system, query type and account.
