Choose collaboration software around cross-shift handovers, time zones, languages and field access. Compare what the next person must complete.

Choose collaboration software for a distributed team by tracing work across a change of location, working hours or device. Ask whether the next person can find the current task, open its material and act without waiting for its author to come online. Compare proposed setups using that handoff, plus the plans and settings the team would use.

Map the gaps between working windows

Trace a request from the person who starts it to the person who takes over. Note where its status lives, who can change it and what happens if the next person is offline. Include someone who works mainly on a phone if that reflects the team.

Turn the gaps into observable requirements. A receiving shift might need to identify the owner and unresolved blocker from the work record. A field worker might need an instruction at the job location. A colleague returning from leave might need to find the approved outcome without asking its author.

Give the next person a route through the work

Decide where requests are assigned, where working files live and where current outcomes are recorded. A message can draw attention to a change, but the next person needs a record they can reach and act on.

For work crossing a shift or region, make the current state and next owner clear in the shared work record.

Check the file's location as well as the message containing it. Microsoft says a file uploaded to a Teams channel is stored in the team's SharePoint folder; a file sent in chat is stored in the sender's OneDrive for Business and shared with that conversation. Check that the next shift can find and open the intended project file.

Teams also provides search and filters for OneDrive files. The files shown there are OneDrive for Business files associated with the user’s Microsoft 365 account; Teams cannot currently connect to that user’s personal OneDrive. Check the account context when a receiver cannot find a file they expect to see.

Compare the conditions that change the choice

Check each condition separately. A calendar can show an invitation in local time while the slot falls outside someone's working hours. In the OneDrive Android app, a file marked offline is read-only; an offline edit saves as a new file rather than changing the original.

Test access on a phone and offline

In the Teams mobile app, a channel file is reached by opening the channel and tapping Files. For a chat file, open the chat, tap the chat or person’s name, then See all under Files; include these routes in a phone-based handoff test.

For OneDrive on Android, a file can be marked Keep offline and later found in Files Available Offline. Those files are read-only while offline; an edit saves as a new file and does not change the original, so test whether the team’s intended work can wait until reconnection.

Offline folders have a separate condition: Microsoft says taking folders offline is available for Premium OneDrive with a Microsoft 365 subscription. Check the proposed account and subscription if a field role needs a whole folder, rather than assuming that marking individual files offline provides the same access.

For a retrieval check in Notion, an exact phrase can be searched by putting it in quotation marks, and recently visited pages appear below the search field. Searching across the workspace and connected apps with filters for source, title or author requires Notion AI.

Shortlist around the hardest handoff

Start with the tools the team uses and an alternative that could address the observed failure. Ask for the exact plan, account types and settings proposed. If the calendar and document home already work, an ownership rule or clearer handover record may solve the problem. Structured capture while disconnected may require a dedicated workflow tool.

Compare each setup against a representative handoff, including any relevant mobile device, language or external account. Note whether the incoming person can find the work and understand what needs to happen next.

Record the choice and operating rule

Record which handoffs the chosen setup supports, the plan and settings required, and who maintains them. Name the home for live status, the route for urgent escalation and the person responsible for correcting a broken handoff. Keep an essential unknown open until the team can check it under its intended configuration.
