Turning a chat decision into a durable record

Confirm a chat decision, capture its rationale and approver, then move follow-up actions into a maintained task system.

When a team makes a decision in chat, confirm the agreed choice, place it in a maintained record and assign any follow-up work. Saving a message preserves context, but later readers may still be unable to tell which reply was final or who approved it.

Confirm the decision

Find where the person or group with authority accepted a choice. If the conversation ends with several suggestions and no clear agreement, seek confirmation in the thread. Do not treat the latest or most popular message as policy.

Write the decision in a sentence that makes sense without the conversation. Add the reason or main trade-off, who confirmed it, when it takes effect and any condition that would reopen it. Keep unresolved questions separate from the agreed choice.

For example, a team might choose a weekly digest for routine release notices while keeping immediate failure alerts. Its record should state that rule and its owner. The thread remains background context.

Give actions their own owners

A decision and the tasks it creates are different records. Put each follow-up in the system where the team assigns and tracks work. State the next action and owner; add a due date only if one was agreed. Link or otherwise refer back to the decision record.

Chat products offer starting points, with limits. In Microsoft Teams, a message can become a Planner task; choose a named shared plan for team work rather than leaving it in Private Tasks.

Check Canvas access before sharing. None of these task features establishes that the underlying choice was approved. Keep the agreed wording and authority in a record colleagues can find.

Keep the record trustworthy

Use a predictable location in the team’s existing decision log, project document or maintained knowledge area. Give the record an owner who can correct it. If the choice changes, record the new decision and its reason without silently erasing the earlier rationale.

Ask the decision makers to confirm the written wording, then tell affected colleagues where the record and tasks are. Someone outside the original thread should be able to find the current choice, its owner and the work still to be done.
